Executive Summary:  Office Support Specialist Mesh Systems seeks to hire an entry Office Support Specialist to join our team. We are searching for a motivated team member who wants to be part of one of the leading technology companies in North America. This individual would play an integral role in our organization by helping to assist in the management of our two office locations in Carmel, IN, providing support to our staff as well as overseeing and aiding in deliveries and shipments that go out of either Carmel office. This is an in-office hourly position based out of our Headquarters in Indianapolis, IN (specifically Carmel) reporting directly to the Office Manager and Human Resources Coordinator. Job Responsibilities
  • Provide administrative support to office staff
  • Serve as the first point of contact for visitors and callers, including accepting deliveries, answering the main phone line, greeting guests, and directing inquiries to the appropriate staff members
  • Prepare office shipments as needed for employees
  • Monitor and maintain office supplies inventory, placing orders as necessary and ensuring that essential items are always available
  • Assist in organizing company meetings and events, including arranging venues, catering, and necessary equipment
  • Shop and stock monthly groceries at both Carmel office locations using a company-provided expense card
  • Plan catered food two times a month for Friday company-wide meetings which includes ordering and pick-up duties
  • Maintain cleanliness of office coffee machines performing weekly and daily maintenance
  • Manage monthly office expenses with guidance from the Office Manager and Human Resources Coordinator
  • Facilitate internal communication, distributing memos, announcements, and other important information within the office
  • Coordinate travel arrangements for staff if needed, including booking flights, hotels, and transportation using company company-approved travel and expense management system, Navan
  • Provide support to various projects by assisting with planning, research, and implementation as needed and directed by the Office Manager and Human Resources Coordinator
  • Help to formalize and write office procedures consistent at each office location
  • Provide exceptional customer service, both in person and via phone or email, resolving issues efficiently and courteously

Requirements

  • Excellent written and verbal communication skills
  • Proactive approach to problem resolution and ability to multi-task
  • Very comfortable using technology, especially MS Word, Excel, Teams, and web-based applications
  • Confident, articulate, and detail-oriented
  • Ability to work independently and take initiative to improve office processes and procedures
  • Patience when handling challenging problems
  • Can-do attitude!
Other Requirements
  • Associates degree or in pursuance of Bachelor’s degree
  • Must be willing to travel around town as needed and in between Carmel office locations (located 1 mile away from one another)
  • Enthusiasm and energy
  • Someone who enjoys “wearing a coat of many colors” throughout the workday with a passion to learn new things
  • Team player attitude
  • Strong organizational skills are a must
Interesting capabilities
  • Capability of performing light accounting work is a major plus
