Job Summary/Basic Function:
The Payroll Specialist is expected to demonstrate expertise and precision while working in a deadline-driven and fast paced environment, in order to maximize efficiency and productivity. The ideal Specialist will develop a strong knowledge of pay policies and requirements and uphold them through strong communication and personal relations skills. The drive to learn and develop skills as various systems emerge is essential to success in this role. The Specialist will self-motivate and work independently while interacting with and supporting other office employees.

Specific Responsibilities:
This position is responsible to ensure information submitted to the Payroll Office as it relates to the Student Payroll is correct and processed accurately and expeditiously according to the established payroll procedures. Good communication skills with Student Employment, Financial Aid and Office of the Controller are important to ensure the accuracy of the information entered into the payroll system. A good relationship with student employing departments is essential for Payroll to quickly react when a change occurs in the student’s employment status. This position will also be responsible for backing up the Non-Exempt Staff Payroll, and must be prepared to assume the lead in the production of that payroll in the absence of the Non-Exempt Payroll Coordinator.

Manage Kronos timekeeping system throughout production of the payroll; assign appropriate Kronos licenses to departmental timekeepers; review Kronos timecards for accurate pay codes ,employee approvals and departmental timekeeper sign-offs; contact departments when Kronos timecards are incomplete or incorrect; import data from Kronos timekeeping system into Banner; balance data between Kronos and Banner and correct as necessary.

Lead production of Student & Graduate Assistant Payroll: Review, apply and balance student job records through electronic pay authorizations process. Create graduate assistant job records. Create tax records, and direct deposits; prepare rosters for distribution; submit processes which calculate according to data entered; audit reports for rate of pay, time entry and resulting payroll detail; correct as necessary; maintain control totals from pay to pay; submit payroll processes through completion.

Ensure adherence to Student Payroll procedures; monitor student work study to students’ payroll job records; review appropriate audit reports to ensure student FICA exemption is appropriately applied; interact with Student Employment, Financial Aid and Office of the Controller as necessary; coordinate and perform reallocations with Office of the Controller and Financial Aid; maintain task log and procedural documentation for Student Payroll.

Perform other duties relating to Student Payroll; assist departments with budget questions regarding payroll expense; assist departments with questions regarding student jobs, rehires, work study; coordinate with Student Employment Programs for the communication of information to supervisors and employing departments; assist departments with student time-reporting through the payroll time and attendance system; assist with the testing of payroll systems during upgrades.

Review imaging documents: Review student payroll documents that have been imaged and tagged ensuring documents have been appropriately assigned. Assist with additional office imaging reviews as needed.

Education: Associates Degree; Experience: 3-4 Years OR
Education: Bachelors Degree; Experience: 1-2 Years.
