Job Summary/Basic Function: The Payroll Specialist is expected to demonstrate expertise and precision while working in a deadline-driven and fast paced environment, in order to maximize efficiency and productivity. The ideal Specialist will develop a strong knowledge of pay policies and requirements and uphold them through strong communication and personal relations skills. The drive to learn and develop skills as various systems emerge is essential to success in this role. The Specialist will self-motivate and work independently while interacting with and supporting other office employees. This position is responsible to ensure the information submitted to the Payroll Office as it relates to the Non-Exempt Payroll is correct and processed accurately and expeditiously according to established payroll procedures. This position is a key contact for departments who need assistance with the time and attendance system or who have questions regarding payroll expense feeds to departmental budget accounts. The position will provide training support on the technology and other issues relating to both the student and non-exempt payrolls. This position must be prepared to assume the lead in the production of the student payroll in the absence of the Student Payroll Specialist. A thorough knowledge of all payrolls is important to maintain a high level of service to the University community.

Specific Responsibilities: 45% Manage UKG Dimensions timekeeping system throughout production of the payroll; assign appropriate licenses to departmental timekeepers; set up new employee indicators on UKG Dimensions and assign employee work schedules; review timecards for accurate pay codes and leave codes, employee approvals and departmental timekeeper sign-offs; contact departments when timecards are incomplete or incorrect; import data from UKG Dimensions timekeeping system into Banner; balance data between UKG Dimensions and Banner and correct as necessary. 25% Lead production of Non-Exempt Payroll; review, apply and balance Non-Exempt job records through electronic pay authorization process, tax records and direct deposit records; submit payroll processes through completion; maintain control totals from pay to pay; process sick leave transfers to employee records; schedule rosters for distribution to departments; maintain security audit of timekeepers in database. 15% Assist in answering questions regarding Student Payroll; contact departments who have not signed off on student timecards and who have not submitted time detail reports; assist in removing sign-offs from timecards needing correction; assist in payroll processes through completion as needed; assume lead in production of Student Payroll in the absence of coordinator; Test new updates on Banner and UKG Dimensions as needed. Coordinate with off-campus employers on set up of portal ID, UKG Dimensions access and training. Assist and backup of Graduate Assistant pay processing. 10% Perform other duties relating to the Non-Exempt Payroll; assist departments with budget questions regarding payroll expense; coordinate reallocations with Office of the Controller when necessary, assist with fiscal calendar year end procedures; ensure adherence to University non-exempt pay policies; maintain task log and procedural documentation for non-exempt payroll; monitor activity of payroll account and identify returned direct deposits; respond to payroll questions from employees and supervisors. 5% Assist in training initiatives relating to Non-Exempt and Student Payrolls; assist with training of new Workforce Managers with UKG Dimensions Time and Attendance System; schedule one-on-one training in campus departments as needed; set up new employee groups and make necessary changes or additions to Workforce Managers in UKG Dimensions. Set up jobs and enter payment amounts for Statesman Editors and Student Assistants. Assist with imaging final review.

Required Education and Experience: High School diploma or GED; 5-6 Years of experience OR Associates Degree; 3-4 Years of experience OR Bachelors Degree; 1-2 Years of experience.
